Several clients have expressed interest in the Worldox Email Agent recently. After it is configured, the Agent automates copying or moving emails from a sub-folder in Outlook to Worldox. Simply drag and drop an email to a sub-folder and it is automatically sent to Worldox. If you copy the email, there is an indication within Outlook that it has been copied to Worldox. You no longer have to fill out or verify profile information.
To my mind the most significant advantage of the Agent is that it lets you copy/send emails from a smart phone, iPad or other mobile device that runs Outlook to Worldox. Drag an email to a sub-folder on your phone and it goes to Worldox. You no longer have to be in the office and have Outlook and Worldox running. The Agent does this by shifting the processing of emails from the local PC to the Exchange server.
The Agent comes with Worldox, there is no additional charge. There is, however, a fair amount of setup, including editing the Admin account in Exchange. In Outlook, the Agent only works with sub-folders, it does not work with your main in-box. So if you have a very large inbox with only a few subfolders, you may have to create 20 or 30 sub-folders and link each one to Worldox. Once that is done, however, the drag and drop process is automatic.
When emails are sent to Worldox, the subject line becomes the description in Worldox. Many people make adjustments to the description to make it more closely resemble the actual content of the email. This is not possible with the email agent (you would have to change the actual subject line, thus changing the content of the email, which is never a good idea).
