I recently got a question about how best to manage large Worldox document stores. The firm in question has about 25 attorneys, but has a very high volume and is in the process of going paperless, so that their document store has grown to over 750GB and is growing more and more rapidly from year to year.
Their main concern was the length of time it takes to rebuild the index. One option they had explored was to split the users among different profile groups on different hard drives. In their particular case this might work, but generally speaking is not a very good solution.
Another solution, which requires more administrative time but can be very effective has two elements.
First, as matters are closed, mark them inactive. This prevents clutter in the client/matter list. This is good advice for any firm, but particularly appropriate with a high-volume firm.
The second is to archive closed matters. This used to be a question of valuable disk space, but with the cost of storage today, that is no longer an issue. However, if you archive matters to a different disk drive, you can significantly reduce the size of your indexes.
To do this, you must indicate where the archives for each profile are to be stored (in the Profile Group Setup). Then set the indexer to include that location and initialize and build an index for it. So when you have to rebuild an index for your main document store, you do not necessarily have to touch the archive, thereby saving a potentially significant amount of time. Of course, someone must archive the closed files, thus taking additional administrative time, but it is a possible solution.
Well I guess it would be a lot better if you will have enough money for your expenses. And expanding your firms will do. Primarily many are looking for the best law firms.
